Data Flow Overview

We take the security and privacy of your data very seriously. This overview explains how data flows between Scheduler, your Zoho CRM, and your clients.

Data In

When Scheduler is triggered, it requests the necessary information from your Zoho CRM to perform its functions. This includes:

  • Source Record Data: Information from the source record, such as the customer's postcode, which is essential for travel calculations.
  • Existing Booking Data: Information about existing appointments for your field agents, which is used to determine availability.

Processing

Scheduler's backend processes this data to find suitable appointment slots and to prepare the information for a new booking. All processing is done securely on our servers.

Data Out

When a booking is made, Scheduler writes the new appointment details back to your Zoho CRM. It can also send confirmation emails and calendar invitations to your clients.

  • CRM Data: Mapped fields are written to the destination module record, and a new Meeting (Event) can be created.
  • Client Communications: Emails and calendar invites are sent to the client's email address.

Scheduler is designed to be a data processor, with your Zoho CRM remaining the primary data controller and source of truth. We only store the minimal amount of data necessary for the application to function and for audit purposes.
