Data Flow Between Scheduler and CRM
Understand how data is transferred between Scheduler and Zoho CRM.
Data Flow Between Scheduler and CRM
Scheduler is designed to work as a seamless extension of your Zoho CRM, with a carefully managed flow of data between the two systems. Understanding this data flow can help you to get the most out of the application.
The data flow can be broken down into three main stages:
-
Data In: When a telephone agent triggers Scheduler from a CRM record, the application requests the necessary information from the source record. This includes the customer's postcode for travel calculations and any other fields you have mapped. Scheduler also reads the existing bookings for your field agents to determine their availability.
-
Processing: The application then processes this information, applying your travel and timing rules to find suitable appointment slots. When a booking is made, Scheduler prepares the data to be written back to your CRM.
-
Data Out: Finally, Scheduler writes the mapped fields to the destination record in your CRM and, if configured, creates a new Meeting (Event). It can also send out confirmation emails and calendar invitations to the client.
Scheduler is designed to store only the minimal amount of booking metadata required for auditing and user experience purposes, in accordance with your data retention settings. The primary source of truth for your customer and appointment data remains your Zoho CRM.
