Understanding Workflows
A detailed explanation of Workflows in Scheduler.
A Workflow is the central concept in Scheduler. It is a self-contained configuration for a specific booking scenario. Each workflow brings together all the rules, mappings, and settings required for a particular type of appointment.
For example, a "Sales Demos" workflow might be configured differently from a "Service Callouts" workflow. Each workflow can define:
- Source Module: The Zoho CRM module from which the booking process is initiated (e.g., Leads, Contacts, Accounts).
- Destination Module: The Zoho CRM module where the new booking information is recorded (e.g., Deals, custom modules).
- Field Mappings: The rules that determine how data is transferred from the source module to the destination module, and how Scheduler's internal fields are mapped to your CRM fields.
- Search Rules: The constraints that control the slot search, such as maximum travel time between appointments and the time windows for available slots.
- Booking Form: The specific fields that a telephone agent must complete when finalising a booking.
- Slots Policy: The rules that govern the availability of appointment slots, such as how many weeks in advance bookings can be made and the specific times of day that are offered.
- Notifications and Meeting Creation: Settings for sending email notifications to customers and for automatically creating calendar invites and CRM meeting records.
When you first start using Scheduler, a default workflow ("Workflow 1") is created for you. You will need to configure this workflow before you can start booking appointments.
