Configuring Slots Policy
Learn how to configure the availability of appointment slots.
The Slots Policy determines the rules for the appointment slots that are offered to your telephone agents. By customising this policy, you can control the availability of your field agents and ensure that bookings are made in a way that aligns with your business operations.
You can configure the following aspects of the slots policy in the workflow settings:
-
Days in Advance: This setting controls how far in the future appointments can be booked. The default is the current week plus 10 days, but you can adjust this to suit your needs.
-
Appointment Times per Day: Here, you can specify the exact times of day that are available for booking. The default times are 10:00, 13:00, and 16:00, but you can add or remove times as required. This allows you to create a booking schedule that fits with your team's working hours and travel patterns.
-
Default Meeting Duration: This setting defines the standard length of an appointment in minutes. The duration is used to calculate the end time of a booking and to determine if there is enough time to fit in a new appointment around existing ones, based on your configured maximum travel time.
By carefully configuring your slots policy, you can create a booking system that is both flexible and efficient, ensuring that your field agents' time is used effectively.
Time Blocks
Time blocks are blocks of time where specific field agents are made to be unavailable from the perspective of the Scheduler app.
From installation, your CRM should have a time block boolean tick box field added to the Meetings module.
In order to block out a field agent's diary because they are unavailable, follow the below steps:
1. Visit the Zoho CRM calendar view
You will be able to access the calendar view by clicking the calendar icon on your CRM.
You may also access the CRM calendar by visiting the below URL, ensuring your CRM organisation ID is entered in the placeholder below:
https://crm.zoho.com/crm/org00000000/calendar?type=weekview
2. Create a new meeting
From the required field agent and day, click to create a new meeting.
3. Set required fields
Give your time block a title, set the required date and time for the time block to start and end, and either make it an online meeting or enter your own office location postal code.
4. Enable the time block setting
Tick the "Time Block" checkbox field to mark this meeting as a time block. This will make the field agent unavailable during this period from the Scheduler app's perspective.
5. Save the meeting
Click "Save" to create the time block. The field agent will now be unavailable for appointments during the specified time period.
