Defining Valid Appointment Filters

Learn how to define what constitutes a booked appointment in Scheduler.

This is a critical requirement. If no existing booking filters are configured, Scheduler will assume you have no existing bookings. This means all slots will appear as available, even times that are already booked, leading to double-bookings and scheduling conflicts.

The Valid Appointment Filter is a crucial setting that tells Scheduler how to identify existing bookings in your CRM. This information is used to determine the availability of your field agents and to prevent double-bookings.

The filter is a rule that you define on your destination module. It specifies the criteria that a record must meet to be considered a "booked appointment". For example, you might create a filter that looks for records in the Deals module where the "Deal Stage" is in the set Ready.

When a telephone agent searches for available slots, Scheduler will query your destination module using this filter. Any records that match the filter will be treated as occupied time slots for the assigned field agents, and those times will not be offered for new bookings.

By setting up an accurate Valid Appointment Filter, you can be confident that Scheduler has a true picture of your team's availability, leading to more efficient scheduling and fewer conflicts. You can configure this filter in the Valid Appointment Filter section of the workflow settings.
