Handling Notes and Required Fields

In addition to the standard fields on your booking form, Scheduler provides special handling for notes and required fields to ensure that you capture all the necessary information for each appointment.

Notes on Record

If you include the "Notes on record" field in your booking form, it will be displayed as a large text box. Any text that the telephone agent enters into this box will be added as a note to both the destination module record and the associated event in your CRM. This is a convenient way to capture any additional comments or instructions related to the appointment.

Required Fields

Your destination module and events module in Zoho CRM may have certain fields that are marked as mandatory. For your Scheduler workflow to function correctly, all of these required fields must be mapped to a value.

You can do this in two ways:

  1. CRM Field Mapping: You can map a source field to the required destination field in the CRM Field Mapping section of the workflow settings.
  2. Booking Form: You can add the required field to the booking form and mark it as mandatory. This will ensure that the telephone agent fills in the field before they can complete the booking.

It is important to ensure that any required fields are only mapped once. If a field has already been mapped in the CRM Field Mapping section, it should not be added to the booking form, and vice versa. Mapping a field in multiple places can lead to unexpected behaviour.
